Type 1 Expense

These are expenses that the organization covers directly, meaning no employee reimbursement is involved. For instance, when a company uses its corporate debit card to pay for website hosting, there’s no effect on employee payroll.

Type 2 Expense

These expenses are initially paid by an employee on behalf of the organization, leading to a reimbursement claim. For example, if an employee pays for hosting services using their personal credit card, it results in an increase in their salary for the month to reflect the reimbursement amount.

Type 3 Expense

These expenses are paid by the organization but are actually for personal use by an employee. For example, if an employee uses the company card for personal purchases, the organization must recover that amount from the employee, which will reflect as a deduction from their net salary in the following payroll cycle.
